Foundation for Environmental Education (FEE) is looking for an experienced, structured, and reliable Executive & Office Coordinator to support both leadership-level processes and the daily administration of our international Head Office. This is a trusted coordination role in a global environmental NGO. You will work closely with the CEO and HR & Admin Director while also serving as the backbone of office administration and internal systems. The role combines executive support and governance coordination with hands-on administrative responsibility. Position Overview
As the Executive & Office Coordinator, you will play a central role in ensuring that leadership processes, governance coordination, and selected core operational systems function smoothly and reliably.
You will work closely with the CEO and HR & Admin Director as a trusted professional partner. The role requires maturity, sound judgement, discretion, and the ability to work independently within agreed frameworks. You will have meaningful ownership of recurring institutional processes that are critical to how FEE functions at leadership and governance level.
Duties and responsibilities:
Executive & governance support
You will provide high-level, confidential support by:
Acting as a trusted coordination partner to the CEO and HR & Admin Director
Preparing structured briefings, presentations, and background materials
Maintaining overview of leadership priorities, timelines, and follow-up actions
Coordinating Board and senior-level meetings, including agendas, documentation, logistics, and follow-up
Supporting governance and membership processes, including record-keeping and annual cycles
Drafting notes, summaries, and internal documentation when relevant
Liaising professionally with Board members on practical arrangements
Quality-checking selected externally facing documents
Office administration & operational ownership
You will ensure smooth operation of defined Head Office systems by:
Owning and maintaining member records and related systems
Ensuring data accuracy, consistency, and compliance
Coordinating annual membership evaluations and surveys, including preparing summaries and reports
Maintaining shared systems, contact lists, and documentation structures
Coordinating IT equipment, asset lists, onboarding and offboarding processes
Liaising with external IT support and relevant suppliers
Managing office supplies and supporting a well-organised working environment
Monitoring shared inboxes and coordinating internal follow-up
Booking travel for the CEO, HR & Admin Director, and Board members, and preparing simple itineraries when requested
Coordinating signatures, document circulation, and selected HR administration tasks (e.g. appraisal scheduling)
Scope clarification:
This role is focused on executive and governance support and defined operational ownership. It does not provide general administrative support to all teams across the Head Office.Skills & Qualifications:
Solid professional experience (typically 5–7+ years) as an Executive Assistant, Personal Assistant, senior coordinator, or in a comparable governance-support role
Clear motivation to build a long-term career as a professional assistant and coordinator
Proven ability to work independently with judgement and discretion in sensitive leadership contexts
Strong organisational skills with excellent attention to detail
Ability to maintain overview across recurring annual cycles and complex processes
Excellent written and spoken English
Comfortable working in an international and multicultural environment
Strong digital skills, including Microsoft 365 and shared document systems; experience with SharePoint, databases or CRMs, and survey tools is an advantage
Calm, service-minded, and collaborative working style

Position Overview
As the Director of the Certification Body Unit, you will play a crucial role in ensuring that FEE’s Certification Body is set up and operates within the scopes of the Accreditation of the Certification Body as provided by DANAK (Denmark’s National Accreditation Body). The Accreditation is part of ensuring the integrity and credibility of FEE’s programmes.
Your responsibilities will encompass strategic planning, project coordination, and effective communication across stakeholders. You will lead strategic initiatives, ensuring our efforts in the network to maximising our impact. Your genuine commitment to environmental preservation will be the driving force behind everything you do, inspiring others and fuelling our collective drive for positive change.
Duties and responsibilities:
The Certification Body Director is responsible for the set-up of the Certification Body Unit in the FEE Head Office:
Ensure that the Certification Body unit can perform the following tasks per 1 October 2026:
Review and decide on certifications for 5,000+ Green Key applicant establishments each year
Communicate with applicant establishments on rectification of non-conformities
Management of complaints, appeals, suspensions and withdrawals
Confirmation of conformity after surveillance activities
Approve auditors
Negotiate contracts (including financial aspects) with auditors and auditing companies
Assign audits to auditors
Employ/contract with relevant staff:
Hire two coordinators to support in the set-up of the Certification Body
Contract with 15-20 technical staff members (to carry out the tasks listed above)
Assigning the various tasks to the various technical staff members
Ensuring the development of the application for accreditation of FEE’s Certification Body with DANAK
Ensure that the employed/contracted staff comply with FEE policies (including policy on impartiality, objectivity, confidentiality, non-discrimination, anti-bribery and anti-corruption)
Administrative overall day-to-day management of the Certification Body unit
Financial overall day-to-day management of the Certification Body unit
Regular reporting to the FEE CEO and the FEE Board
Regular cooperation with the FEE HO finance team and the FEE HO Admin and HR team
Cooperation with the external impartiality committee
Skills & Qualifications:
Bachelor’s degree in environmental science, sustainability, or related field.
A minimum of ten years of experience in work with a certification scheme, environmental project management (including team management).
Proven leadership experience.
Knowledge about ISO standards (particularly ISO/IEC 17065:2012).
Excellent communication and interpersonal skills, with the ability to engage diverse stakeholders and build consensus.
Proficiency in project management tools and techniques.
Fluent in English language. Additional knowledge about other languages, such as Spanish, French or Danish will be considered a plus.
Solution-oriented and proactively address your tasks and challenges.
